Community Manager Position
The Grotto is a nonprofit fueled by community and driven by doers. We believe that everyone has the creativity, curiosity, and unique perspective to turn ideas into reality – they just need the right, supportive relationships in place to do so! With your help, we intend to grow our community to encompass more people of all backgrounds, more unique perspectives and skill sets, and more entrepreneurial energy.
The Community Manager will work closely with the Board President and Board of Directors to oversee the day-to-day operations and community engagement at The Grotto Community Center, ensuring a welcoming, inclusive, and well-managed space for all members. This position also collaborates with The Grotto Creative Lead.

Key Responsibilities
Community Management
- Develop in-depth knowledge of The Grotto’s memberships, mission and vision, and all applicable Grotto guidelines and communicate these effectively to members as needed.
- Collaborate with Grotto committees to plan and implement community initiatives that foster connections among members and bring new ideas to life.
- Create an inclusive environment that encourages the exchange of fresh perspectives.
- Conduct tours for prospective members, showcasing the unique community and value of The Grotto.
Member Management
- Ensure that new members feel welcome and connect into the greater community.
- Oversee onboarding for new members and provide support during outboarding.
- Communicate important updates, program information, and internal changes through regular newsletters or other channels to keep members informed.
Facilities and Space Management
- Notify members of facility updates or issues that may impact their experience.
- Work with the Board, Board President, and Creative Lead to advise on space updates and improvements, and report any disruptions to regular activities.
- Use coworking software to manage space, memberships, and submit maintenance requests for repairs to facilities or equipment.
- Ensure the space is tidy and orderly, and compliance with local safety and emergency preparedness laws.
Daily Tasks
Member Support
- Engage in conversations with members, gathering insights to better support their needs and help them feel part of The Grotto’s community.
- Facilitate introductions and foster connections between new and existing members.
- Visit studio and private office members regularly and recognize special occasions with personalized cards.
- Assist with troubleshooting tech issues and helping new members settle into the space comfortably.
Community Engagement
- Introduce visitors to relevant members, illustrating the benefits of coworking and connection.
- Lead tours for potential members and provide tutorials for the photo studio and conference room as needed.
- Support visitors and donors during Donation Day.
Administration
- Complete onboarding for new members and manage account updates or membership changes.
- Follow up on payments, send invoices, and respond to website and email inquiries.
- Organize and maintain files (e.g., member info, programming, events, etc.) and create templates for communication.
- Update The Grotto’s Give Gab page during fundraising efforts and convert online inquiries into scheduled tours.
Building Management
- Open and secure common areas daily, including stairwells and signage.
- Manage trash disposal, key distribution, and mail sorting.
- Maintain cleanliness in shared areas, restock coffee, water plants, and address emergencies.
Marketing
- Help manage and update The Grotto’s social media accounts alongside the Creative Lead.
- Create and share event pages across multiple platforms (e.g., Facebook, Instagram, York365, Proximity).
- Respond to inquiries and engage with followers on social media about events and The Grotto’s activities.
Event Support
- Serve as the on-site person for First Friday events.
- Provide 24/7 access members with updates on any event-related disruptions in their workspaces.
- Assist with registration, applications, and data management for events and support collaborations with local creative organizations when required.

Compensation: $20/hr
Hours: 20-25 hours/week (This position is primarily an in-person at The Grotto from 9am-1pm every weekday.)
